How long can I book the same workspace?
Up to one work week (5 days).
How far in advance can I book a workspace?
90 days.
What if someone books a workspace but doesn’t use it?
Space recapture tool: If someone doesn’t check into a workspace within 4 hours after the start of their reservation, Robin automatically cancels the reservation so that workspace becomes available to others.
Note: The default start time for reservations is 8am (when 55 Exchange Place opens). In this case, staff need to check in by noon to keep their booking.
How will data in Robin be used?
We are focused on overall trends in workspace and meeting space usage. For example, we’ll be monitoring total daily office occupancy, which day(s) of the week are most popular, which meeting spaces or workspaces are used most, etc. This data is shared with the ELT and the Executive Committee to help inform short-term and longer-term plans. Individuals may request for their own workspace usage report by emailing REAsupport@seo-usa.org

What is the role of a Booking Manager?
- Booking Managers have the ability manage workspace reservations for others.
- Support the team: In most cases, staff will book their own desks. However, Booking Managers are the backup for their team when needed. This includes helping coordinate desks bookings when a larger group/ entire team plans to come in (i.e. making sure everyone has a workspace in the same area of the office) or book a desk on behalf of a team member having trouble finding the space they need or accessing Robin.
- Cross-department coordination: Booking Managers might reach out to one another to help troubleshoot space challenges, or ask when other teams might be planning larger in-office activities (i.e. team training).
- Resources: Booking Managers will receive support and training from the Real Estate & Administration team.

How do Full-time staff get booking access?
Full-time staff will receive Booking access in our space management system, Robin, when People & Culture confirms employment status and IT has added the new hire into the SEO platform.
