ALL DELIVERIES GO TO SUITE 600.
Departments must pick up all mail and package in the Shipping Room and move delivered materials to their department storage.
Personal mail and packages: Current staff:
No personal packages should be delivered to SEO. However, if personal items are accidentally shipped to SEO:
- Upon receipt, the Senior Office Manager will place personal packages and mail in designated Personal Package mailbox in the 6 floor Shipping Room. The Senior Office Manager will not send individual notifications for personal items.
- Staff may email REAsupport@seo-usa.org to request confirmation that a personal item is at the office.
- Personal items will not be mailed to staff.
Work-related large/bulk orders and deliveries:
- Staff should email REAsupport@seo-usa.org to request assistance for any anticipated large deliveries at least two weeks in advance.
- Departments should ensure team members are available on-site to help receive deliveries.
- To help ensure a smooth delivery of your next order, please carefully read the guidance below:
- Heavy or bulk orders: Please ensure any bulk (i.e. > 10 boxes) or heavy items (i.e. a single box/ item is > 25 lb.) will be brought inside the building and to the designated 6 Floor Shipping Room area of the SEO office, rather than left on the curb or in the lobby.
- Delivery types: There are several types of delivery services. We should always request “White Glove” delivery to ensure items will be brought to the appropriate location in the building. Though it may be an additional expense, it is necessary to ensure SEO team members are not put at risk of injury.
- If a vendor offers “Inside” delivery, please confirm what this service includes. In some cases, it means the building lobby. In others it would mean bringing it up to the appropriate SEO office.
- “Curbside” or “Lift Gate” delivery is not sufficient as these delivery types will not bring items into the building.
- Be sure to get written confirmation of delivery terms and have them readily available during the delivery window. On occasion delivery personnel will refuse to complete a specific service unless we have documentation proving it was included.
- Building Information:
- Building Hours: 55 Exchange Place is open Monday to Friday, 8am to 10pm. However, deliveries should be made before 5pm to ensure staff are on site to receive delivery.
- Parking: Street parking only. Double parking is not permitted. Deliveries must go through a Stock Exchange security checkpoint to reach our street. Please note oversized trucks may not fit on Exchange place since it is very narrow.
- Loading dock: We do not have a loading dock so delivery vendors will need to use their truck's lift gate to get materials to the curb. However, as noted above, Lift Gate service alone is not sufficient - we need to ensure materials are brought inside the building and to the specified floor.
- Pallets: Pallets do not fit through the front door and must be unpacked before materials can be brought inside. Delivery personnel will not unpack them for us unless that service has been included - be sure to get written confirmation of all delivery services.
- Heavy, bulk or urgent deliveries should be scheduled only when there is an SEO staff member on site to receive them.
- After an event: As a reminder, departments need to ensure team members are on-site to receive packages if they are shipping back heavy or bulk items after an SEO event. Staff should also email REAsupport@seo-usa.org to notify the RE&A team of any such deliveries and request assistance if needed. RE&A hand truck and carts are available to staff.
- Staff must use the freight elevator (single elevator on the same side of the lobby as the security desk) when using the hand truck or cart for deliveries or to move materials between floors (i.e. to/ from the basement). To request for the freight elevator, call Front Desk Security: James and Garth are our two main staff. James is there in the morning and Garth is in most afternoons and evenings. Terminated or Former staff:
Mail received after a staff member has left SEO will be:
- Forwarded to an address on file for up to 1 month after termination date when feasible.
- Returned to sender if it has been longer than 1 month since that individual has been employed by SEO.
