Teams with dedicated storage space are responsible for managing the materials in their department storage areas, including transportation to/from those areas. The information below provides in-depth details on accessing and managing storage areas as well as information on the use of the freight elevator, how to discard bulk items, and an overview of each department's storage locations.
Guidelines
- Materials are organized by department.
- See shelf labels or storage map to locate department storage areas.
- All boxes should be dated and labeled using the provided label template and stored in the appropriate location. Do not leave materials in the aisles or walkways.
- Departments are responsible for maintaining materials stored in their area, including the transportation to and from the basement.
- Any department needing additional storage is responsible for asking to borrow space from another department. Do not commandeer space without permission.
Freight Elevator
- Staff must use the freight elevator (single elevator on the same side of the lobby as the security desk) when using the hand truck or cart for deliveries or to move materials between floors (i.e. to/ from the basement). To request for the freight elevator, call Front Desk Security: James and Garth are our two main staff. James is there in the morning and Garth is in most afternoons and evenings. You can reach them at 646-442-1098 or 55security@seo-usa.org. Let them know the floor where they need to send the freight elevator.
- Note that the freight elevator is the one that has fabric protecting its walls. Use the chain to keep the elevator at the designated floor. When the freight elevator is no longer needed, put the chain back on and send the elevator back down to the 1rst floor.
Hand Carts
Hand truck and cart are available by the 5th floor reception desk.
Deliveries (Large/bulk orders and deliveries)
- Staff should email REAsupport@seo-usa.org to request assistance for any anticipated large deliveries at least two weeks in advance.
- Departments should ensure team members are available on-site to help receive deliveries.
- For safety reasons, ensure each package being delivered weighs no more than 25lbs.
- Request for white glove service from vendors so they do not just do curb drop off.
Discarding Items
- For bulk throw out (this includes any equipment, hazardous materials, or anything that cannot go in regular garbage) please email REAsupport@seo-usa.org to the REA team so we can plan accordingly with Building Maintenance and appropriate vendors if applicable.
- There are clear garbage bags available right inside the SEO basement storage area. Please do not over fill the bags for safety of staff. We also do not want them to rip. All bags must be moved to the corner of the basement elevator bank for disposal. You can use the large black garbage bin right outside the storage room to transport the filled bags, but please remember to return the garbage bin to its original location.
Accessing the Basement
- The basement keys are located in the lockbox at the SEO 5th floor reception desk. Only Basement Storage Department reps have the code for this lockbox and they are the only ones in their department that have ID card swipe access to the basement.
- Department reps must remember to lock up immediately after using the basement and promptly return the keys to the lockbox.
